This guide is for H-E-B suppliers
If you bought something at an H-E-B store and want an invoice for your receipt, use H-E-B's customer invoicing portal. This guide is for the other side of the counter: companies and individuals who sell goods to H-E-B Mexico and need to bill them with a CFDI their system accepts.
H-E-B checks every invoice against the purchase order and the goods it received. That is why its invoices carry more data than a regular CFDI: the order number, the receiving store and the barcode of each product.
How to become an H-E-B supplier in Mexico
H-E-B publishes its small-business process on its PYMES H-E-B page. It starts with a pre-registration on the SME Fair portal and continues with a review of your products by the commercial team. H-E-B does not publish response times. The contact listed on that page is pymesheb@hebmex.com.
According to that page, your products must meet these requirements:
- A barcode registered with GS1 Mexico. Bulk products don't need one.
- A trademark registered with IMPI.
- Compliance with the NOM standards that apply to them.
- Packaging suitable for self-service retail.
- For perishables, a GFSI or Global Markets certification at intermediate level.
- Being registered with the SHCP and issuing electronic invoices.
GS1 barcodes and your catalog in Syncfonía+
The barcode on your label (the GTIN, usually 13 digits in Mexico) is how H-E-B recognizes each product on your invoice. If the code you invoice is not the one H-E-B has on file, the invoice arrives with observations.
Besides registering with GS1 Mexico, H-E-B asks for each product's attributes in Syncfonía+, GS1's electronic catalog. GS1 Mexico's H-E-B attributes manual explains how to fill them in and how to give H-E-B access to your catalog from the access control list.
What H-E-B asks for on the invoice: the Detallista complement
H-E-B receives CFDI 4.0 invoices with the Detallista complement, an SAT complement based on the AMECE retail standard. Many systems call it the “H-E-B addenda”, but it goes inside the CFDI and is sealed when you stamp it. The Detallista complement is not exclusive to H-E-B: other retail chains use it too.
For H-E-B, the complement carries this data:
- The purchase order and its date.
- The receiving store, identified by its 13-digit GLN. It comes on the purchase order.
- Your H-E-B supplier number.
- The barcode of each product, line by line.
- Amounts before VAT and the VAT broken down on every line.
- The goods receipt number, if you already have it. If not, the purchase order is enough.
How to invoice H-E-B step by step with Factura Digital
You need a Premium account. The first time, you set up your H-E-B details; after that every invoice is made like any other, with one extra step. The video at the top shows these same steps with sample data.
- Go to Crear › Addendas and open the HEB · Complemento detallista card. Under Configuración, enter your H-E-B supplier number, the user and password of your invoice mailbox, and the stores you deliver to, with their GLN. The password is stored encrypted and never shown again.
- In Catálogos › Productos y Servicios, open each product you sell to H-E-B and enter its barcode. The screen checks the check digit and lets you know if a code doesn't add up.
- Create your income invoice for H-E-B as usual: customer, line items and payment method.
- Under Complementos › Mostrar más…, choose Detallista. Enter the purchase order and its date. The store, your supplier number and the barcodes already come from your settings and your catalog.
- Click Agregar a la factura and stamp it (Timbrar). Factura Digital calculates the amounts before VAT and the VAT of every line.
- Go back to Addendas › HEB, open the Entregas tab and click Entregar a HEB next to your invoice.
How to read H-E-B's response
When you deliver, H-E-B validates your invoice and replies right away with an electronic acknowledgment (the APERAK). Factura Digital turns it into plain words and keeps it with your invoice:
- Valid at H-E-B: received with no observations.
- Data to review: H-E-B has it but flagged something, for example a barcode it doesn't recognize.
- Not accepted: usually because of the purchase order or the store. Check those details with your buyer.
- Access not accepted: check the mailbox user and password under Configuración.
- No response in time: deliver it again in a few minutes.
Common mistakes when invoicing H-E-B
- Invoicing without the purchase order, or with a number that doesn't match the order.
- Using your internal product code instead of the GS1 barcode.
- Invoicing items or quantities different from the purchase order.
- Entering prices with VAT included instead of the unit price before VAT.
- Mixing up the GLN of the receiving store with H-E-B's GLN as the buyer.
- Delivering from an account in test mode: those invoices go to H-E-B's test mailbox, not the real one.
